Privacy Statement

1. Purpose

This Privacy and Opt-In Policy outlines how ICON Asia-Pacific Limited (ICON) collects, uses, and manages personal information in compliance with the Australian Privacy Act 1988 (Cth) and the Spam Act 2003 (Cth). It ensures individuals understand how their data is handled and how they can manage their communication preferences. 

2. Collection and Use of Personal Information 

ICON collects personal information, including but not limited to: 

  • Name, address, phone number, and email address 

  • Job title and employer details 

  • Payment details (not stored) 

  • Event participation history 

  • Website interactions (e.g., cookies and analytics data) 

Personal information is collected via: 

  • Membership applications 

  • Event registrations 

  • Online subscription forms 

  • Direct inquiries via email, phone, or website 

This information is used to: 

  • Provide services and communicate with members 

  • Send relevant industry updates and event invitations 

  • Process payments and manage memberships 

  • Improve our services through analysis and feedback 

3. Consent to Communications 

ICON will only send marketing, event invitations, industry updates, or other promotional communications to individuals who have expressly opted in. Consent may be provided through: 

  • Membership applications 

  • Event registrations 

  • Online opt-in forms 

  • Direct written or email requests 

Corporate Members: As part of their membership benefits, corporate members will be automatically opted in to receive event and job alert notices. 

Individuals will only receive communications relevant to their engagement with ICON. 

4. Managing Consent 

Individuals can update their preferences or withdraw consent at any time by: 

  • Clicking the 'unsubscribe' link in electronic communications 

  • Updating preferences via their membership portal (if applicable) 

Once consent is withdrawn, ICON will cease sending marketing communications, except where legally required or for essential operational purposes (e.g., membership renewals, billing notices). 

5. Third-Party Sharing 

ICON does not sell, rent, or distribute personal information to third parties for marketing purposes. However: 

  • Selected partners may receive contact information, but an additional opt-in will be required at the time of event registration. 

  • Limited information may be shared with trusted service providers who assist in delivering communications, under strict confidentiality agreements. 

  • Information may be disclosed to regulatory authorities as required by law. 

6. Data Security and Retention 

ICON implements appropriate security measures to protect personal data. Personal information is retained only as long as necessary to fulfil the purpose for which it was collected or as required by law. 

7. Accessing and Updating Information 

Individuals may request access to or correction of their personal information by contacting ICON at: info@iconapac.com  

Requests will be processed in accordance with the Australian Privacy Principles (APPs). If a request is denied, the individual will be informed of the reason and provided with options to escalate the matter.
